Five Jars is a full-service web design & development digital solutions agency that creates intuitive, data-driven web experiences. Over the past 6 years, we’ve delivered more than 100 projects for clients in a variety of industries, including health & fitness, media, arts & culture, and NGOs.
We seek a highly organized and proactive HR Generalist to support our dynamic team and executive leadership. This role is pivotal in ensuring smooth day-to-day operations by handling a wide range of HR administrative tasks for the company and hiring new team members. The ideal candidate will be a self-starter, capable of managing their workload efficiently, and possess excellent communication skills.
Responsibilities:
People operations (40%)
- Overseeing the day-to-day administration of employee benefit programs
- Conducting regular benchmarking and analysis of employee benefits programs to evaluate competitiveness, cost-effectiveness, and employee satisfaction
- Serving as a resource for employees to address benefit-related questions, concerns, and issues. Providing personalized guidance, resolving disputes, and advocating for employee needs in collaboration with HR
- updating the list of National Holidays for different countries (Policy and HRIS), communicating updates and reminders to the team
- Provide all the required support like communication with the speakers, expense management, team announcements, posting of learning materials, etc.
- Promote corporate culture and company values
- Communicate with team members: monitor the mood of specialists and job satisfaction within the project
- Advise managers and supervisors on best practices in handling employee concerns
- Handle and resolve complex employee relations issues, possibly involving disputes or grievances
- Conduct onboarding, offboarding and exit interviews
- Budgeting, Compensation, and Benefits
- Conduct compensation analysis to ensure that the company remains competitive
- Work with the Finance Manager on the monthly compensation for team members
- Assist in the design and rollout of benefits packages
Recruiting (40%)
- Publish open positions on job boards and corresponding resources
- Search, select, and headhunt the best talents for our team
- Communicate with potential candidates to gather useful information before any interviews
- Resumes and candidates pre-screening
- Schedule, organize, and conduct interviews
- Follow-up after the interview
- Manage communications between applicants, hiring managers, and others to keep all parties apprised of the status of each search
- Managing offer process and negotiating compensation package including salary, start date, and allowances
- Lead the full recruitment cycle in general
- To accompany the candidate until the onboarding to the company
- Monitoring the job market
- Make job-market research and prepare reports for hiring managers
- Researching and developing innovative strategies to recruit top talents
- Developing and re-writing job descriptions to match industry standards
- Recommending improvements to current recruitment processes to ensure streamlined, cost-effective services are being provided to the team
- Maintain a database of candidates for further opportunities
- Work with the marketing team to spread the information about open positions across all social networks
- Maintain company job board profiles
Travel management (5%)
- Coordinating and booking transportation (flights, trains, rental cars) and accommodations (hotels, apartments) according to the traveler’s preferences, budget, and company policies
- Monitoring travel expenses and processing expense reports
- Developing and updating travel policies and procedures in response to changing business needs, industry trends, and regulatory requirements
- Providing assistance and support to travelers before, during, and after their trips, including travel advisories, visa assistance, travel insurance, and emergency support
Stakeholder communication (5%)
- Serve as a bridge between employees and management (CEO & COO), ensuring clear communication
- Represent the HR department in cross-departmental initiatives
- Collect and analyze HR data to provide insights into trends
- Generate reports for executive management based on HR metrics
Event management (5%)
- Organizing in-person events for the team, starting from the concept to execution
- Proposing and organizing virtual activities and engagements with the team
- Managing the financial aspects of event planning and execution
Legal Compliance (5%)
- Ensure that the organization is compliant with US/Ukraine laws
- Work with legal docs (employee/contractor agreements, NDAs, etc.)
- Create, review, and update HR policies as required
- Stay updated with changes in labor laws and inform the organization about any necessary policy changes
- Ensure consistent policy enforcement throughout the organization
Requirements (soft and hard skills)
Top Skills
- Experience in HR for at least 3 years
- Upper-intermediate/Advanced in English (ready to communicate with US team members)
- Experience working with a remote distributed team
- Experience working at a software development agency or outsourcing company
- Exceptional organizational and time management skills
- Employee lifecycle management and support experience
- Problem-solving mindset with attention to detail
- Proactivity: if something is unclear, do not be afraid to ask questions

Qualifications
- English level: Upper-Intermediate or Advanced
- Previous experience as HR in the IT (product or outsourcing company)
- Previous experience in managing day-to-day operations within the company.
